ChairFlowIQ is a barber and salon appointment booking platform operated by QLEARVISION LLC ("ChairFlowIQ," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ChairFlowIQ at chairflowiq.com or by texting a barber's ChairFlowIQ-provided phone number, you agree to this policy.
1. Information We Collect
When you book an appointment or interact with a barber through ChairFlowIQ, we collect:
- Contact information: name, email address, mobile phone number.
- Booking information: appointment date, time, service selected, barber selected, booking history with that barber.
- Payment information: processed by Stripe; we do not store full card numbers on our servers. We retain payment metadata (amount, status, payment method type) for booking and accounting purposes.
- SMS metadata: messages sent and received through the platform, delivery status, and timestamps. We use this to power booking conversations, reminders, and customer service.
- Server log data: IP address, user-agent string, referring URL, and timestamps of requests, retained in standard web server logs for security, debugging, and abuse prevention. We do not run third-party advertising or behavioral-analytics scripts on chairflowiq.com.
- Error monitoring: when our application encounters an error, technical context (stack trace, request URL, browser type, an obfuscated user identifier) is sent to Sentry to help us diagnose and fix bugs. Sentry does not use this data for advertising.
2. How We Use Your Information
- To facilitate bookings between you and the barber you have chosen.
- To send appointment confirmations, reminders, and other transactional messages by SMS and email.
- To process payments and refunds through Stripe.
- To provide customer support and respond to your inquiries.
- To improve and secure the ChairFlowIQ platform.
- To comply with our legal obligations.
3. SMS Messaging Program
ChairFlowIQ uses SMS text messaging to enable booking conversations and to send appointment confirmations and reminders.
- How you opt in: You opt in to receive SMS by either (a) texting a barber's published ChairFlowIQ phone number to initiate a booking conversation, or (b) checking the SMS consent box when you enter your phone number on a ChairFlowIQ booking form (your barber's booking page, or the standalone signup page at
chairflowiq.com/sms-signup). The consent box is unchecked by default and clearly states what messages you will receive, the typical frequency, and how to opt out.
- Message frequency: Typically up to 5 messages per appointment (booking confirmation, 24-hour reminder, 2-hour reminder, post-appointment follow-up, plus any messages you initiate). Frequency may vary based on the barber and your bookings.
- Message and data rates may apply. Your mobile carrier may charge you for text messages you send or receive. We do not charge you separately for SMS messages.
- How to opt out: Reply
STOP to any message at any time to unsubscribe. You will receive a confirmation message and will not receive further messages unless you reply START to re-subscribe.

- No sharing of mobile numbers for marketing: We do not sell, rent, or share your mobile phone number with third parties for their marketing purposes. We share your mobile number only with (a) the barber you have booked with, so they can serve you, and (b) service providers acting on our behalf (e.g., Twilio for SMS delivery), subject to confidentiality obligations. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
4. How We Share Information
We share information only as needed to operate the service:
- With the barber you book with: the barber receives your name, contact information, and booking details so they can serve you.
- With service providers: Stripe (payments), Twilio (SMS delivery), Resend (transactional email), Sentry (error monitoring), and our hosting provider. These providers process information on our behalf under contractual confidentiality obligations.
- For legal reasons: when required by law, subpoena, or to protect the rights, safety, or property of ChairFlowIQ, our users, or others.
- Business transfers: if QLEARVISION LLC is acquired, merged, or sells substantially all of its assets, your information may transfer as part of that transaction; you will be notified by a prominent notice on chairflowiq.com.
We do not sell your personal information.
5. Data Retention & Security
We retain your information for as long as your account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods:
- Account & booking records: for the life of your account, plus up to 7 years after closure for tax, accounting, and dispute-resolution purposes.
- SMS logs (message bodies, delivery status): 24 months, then anonymized or deleted.
- Payment metadata: retained per Stripe's data retention practices and as required by applicable financial regulations.
- Server logs & error reports: 90 days for routine logs; longer where needed to investigate a specific security or abuse incident.
We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (HTTPS/TLS) and at rest where supported by our service providers. No system is perfectly secure; we cannot guarantee absolute security.
6. Your Rights & Choices
- Access & correction: you may view and update your account information from your customer dashboard.
- Deletion: you may request deletion of your account and personal data by emailing support@chairflowiq.com. We may retain limited information as required for legal, tax, or accounting purposes.
- SMS opt-out: reply
STOP to any text message.
- Email opt-out: use the unsubscribe link in any non-transactional email. Booking confirmation and account-security emails are transactional and cannot be opted out of while you have an active account.
7. California Residents
If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you specific rights regarding your personal information. This section summarizes those rights as they apply to ChairFlowIQ.
Categories of personal information we collect: identifiers (name, email, phone number, IP address), commercial information (booking history, payment metadata), internet activity (server logs, error reports), and inferences drawn from booking patterns for service-improvement purposes. We described how we collect and use this information in sections 1 and 2 above.
Sale or sharing of personal information: We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA. In particular, we do not share mobile phone numbers or SMS content with third parties for marketing.
Your rights:
- Right to know: request the specific pieces and categories of personal information we have collected about you.
- Right to delete: request deletion of personal information we have collected from you, subject to legal and operational retention exceptions.
- Right to correct: request correction of inaccurate personal information.
- Right to non-discrimination: we will not deny service, charge different prices, or provide a different level of quality because you exercised any of these rights.
To exercise any of these rights, email support@chairflowiq.com from the email associated with your account. We may need to verify your identity before fulfilling certain requests. We will respond within 45 days as required by law.
8. Children's Privacy
ChairFlowIQ is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us and we will delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through chairflowiq.com or by email or SMS where appropriate. The "Last updated" date above reflects the most recent revision.
